Refund and Exchange Policy
Wheeling Around The Globe Travels Refund, Exchange, Privacy, and Operational Policy
Effective Date:
This policy is effective as of June 30, 2025, for all travel booked on or after this date. It applies to all future bookings until further notice, as well as any existing bookings where travel has not yet commenced. This policy is subject to change at any time at the discretion of Wheeling Around The Globe LLC’s administrative staff and, if necessary, in accordance with updates from our travel vendors and partners.
General Terms
- Approval Requirement
All refunds and exchanges require prior approval by Wheeling Around The Globe Travels (also doing business as Wheeling Around The Globe LLC). Approval from the relevant vendors is also mandatory for any refund or modification to a reservation.
Requests must be submitted in writing via email or through our official customer support channels. - Travel Insurance
Travel insurance is optional and must be purchased separately. Refunds and exchanges will only be processed with valid proof of travel insurance.
If you choose to waive or decline travel insurance, you accept full responsibility for the cost of the booking, and refunds may not be available. - Processing Timeline
Refund and exchange requests will be reviewed within 10 business days of receipt. Approved refunds will be processed within 14 business days.
Refund Policy
- Non-Refundable Deposits
Some bookings may require a non-refundable deposit, clearly outlined at the time of booking. These deposits are non-refundable under any circumstances. - Refund Eligibility
Refunds are only available if cancellations occur within the timeframe specified in your booking agreement. Late cancellations, no-shows, or cancellations outside the eligible period do not qualify for refunds. - Administrative Fees
Approved refunds are subject to an administrative fee of up to 10% of the booking cost or a flat fee of $50, whichever is higher.
Exchange Policy
- Change Requests
Exchanges—including itinerary changes, date modifications, or participant substitutions—must be requested at least 14 days before the scheduled departure date. - Exchange Fees
Approved exchanges will incur an administrative fee, determined by the nature of the request. Any additional costs incurred due to price differences between the original and new booking will be charged to the client. - Limitations
Certain bookings, such as promotional offers or discounted packages, may not be eligible for exchanges. Availability for exchanges depends on the vendor's and supplier's policies.
Force Majeure
- Flight and Travel Disruptions
Wheeling Around The Globe Travels (also doing business as Wheeling Around The Globe LLC) is not responsible for changes, delays, or cancellations of flights or travel arrangements for any reason—including but not limited to weather, maintenance issues, staffing shortages, or operational changes made by airlines such as gate assignments or schedule adjustments. - Unforeseen Circumstances
In cases of natural disasters, pandemics, government restrictions, or other force majeure events, Wheeling Around The Globe Travels will work to find alternative solutions where possible. Refunds or exchanges in these situations will be evaluated on a case-by-case basis and are subject to vendor policies.
